About the vacancy
On behalf of our client, we are looking for a friendly, highly organized, and professional Office Assistant to join our office team. This role is based at the front desk of our accounting office and is an important position of trust. You will be the first point of contact for clients and support the Managing Director with scheduling and daily organization.
You will handle client communication, maintain agendas, support document processing, and assist with basic accounting administration such as applying payments and issuing QuickBooks receipts.
If you are proactive, customer-service focused, and enjoy keeping things running smoothly, we would love to meet you.
Job Tasks:
- Welcome and assist incoming clients and visitors in a professional manner
- Answer and manage office phone calls and client inquiries
- Manage the company WhatsApp line and communicate clearly and politely
- Schedule appointments and coordinate office flow
- Maintain and manage the Managing Director’s agenda at all times
- Schedule meetings, appointments, reminders, and follow-ups
- Scan, organize, and archive accounting documentation (e.g. tax forms, yearly filings, Profit Tax reports etc.)
- Draft and type administrative documents such as Power of Attorney letters
- General typing, document formatting, and office administration
- Contact clients on behalf of consultants to follow up on open invoices (incasso)
- Assist with cash receiving and provide receipts via QuickBooks
- Apply payments in QuickBooks and support basic internal administration
- Keep the front desk area neat and welcoming
- Light end-of-day office tasks to keep office space tidy
Requirements
- MBO education or equivalent (practical work experience is valued over formal education)
- 1–2 years of experience in an administrative/reception/front desk role
- Excellent organizational skills and ability to multitask calmly
- Very proactive, takes initiative, and follows through
- Highly confidential and trustworthy with sensitive client information
- Strong customer service mindset, friendly, polite, and professional
- Professional demeanor
- Microsoft Office skills
- Experienced in Quickbooks is a plus!
