Key Duties
Administrative Duties:
- F&B Documentation Management: Maintain accurate and up-to-date records of food and beverage operations, including inventory, ordering, supplier contracts, disciplinary actions documents, and delivery schedules.
- Scheduling & Coordination: Organize and manage meetings, team schedules, and daily operations to ensure efficient use of resources and smooth day-to-day operations.
- Budget Assistance: Help prepare and monitor F&B budgets, track expenditures, and generate financial reports to ensure cost-efficiency.
- Procurement Management: Assist with ordering supplies and managing vendor relationships, ensuring timely delivery and quality standards.
- Compliance and Safety: Ensure adherence to food safety regulations and company policies related to health codes and safety protocols.
- Guest Allergy Management: Maintain detailed records of all guest allergies and dietary restrictions, ensuring that this information is communicated effectively to kitchen and service staff.
- VIP Tracking: Track and ensure personalized service for all in-house VIPs, including special F&B requests, reservations, and unique needs.
- Lead F&B Projects: Oversee and manage a variety of food and beverage-related projects, including new product launches, menu development, and special events.
- Project Planning & Execution: Develop detailed project plans, set timelines, allocate resources, and monitor progress to ensure successful completion.
- Team Collaboration: Collaborate with kitchen staff, servers, suppliers, and other departments to ensure projects are executed smoothly and in line with company objectives.
- Vendor & Supplier Coordination: Coordinate with vendors and suppliers for special events, promotions, and new product rollouts, ensuring quality standards and timely delivery.
- Problem Solving & Troubleshooting: Address issues promptly as they arise, adjusting plans and resources as necessary to keep projects on track.
- Project Reporting: Provide regular updates on the status of ongoing projects, ensuring senior management is kept informed about timelines, budgets, and any potential risks.
Guest Services and F&B Operations:
- First Night Dinner Reservations: Ensure all guest arrivals have dinner reservations for their first night, managing any special requests or preferences for VIP guests.
- Cost Control & Oversight: Monitor and analyze food and beverage costs, working with management to ensure profitability while maintaining high standards of service.
- Event & Special Request Coordination: Assist in organizing and executing special events, banquets, and conferences, ensuring the F&B team delivers exceptional service tailored to guest needs.
- Customer Feedback Management: Collect and analyze customer feedback related to food and beverage services and work to address any concerns or suggestions for improvement.
Other Duties:
- Staff Training Support: Assist in training new F&B staff members in company policies, safety protocols, and operational best practices.
- Process Improvement: Identify opportunities to streamline F&B operations, reduce waste, and increase efficiency across all areas of the department.
- Cross-Departmental Communication: Foster strong communication between F&B and other departments, such as front desk, housekeeping, and events, to ensure guest needs are met seamlessly.
- F&B Reporting & Analytics: Generate reports on F&B sales, costs, guest satisfaction, and other key metrics to support decision-making and continuous improvement.
- Support F&B Management Team: Support the F&B management team in any other request that will benefit the operation of the department.
Requirements
- EPI/MBO Diploma in hospitality, Business Administration or related field
- 2 years of experience in F&B operations or Project Management
- Fluent in English, Spanish, Dutch and Papiamento
- Strong written and verbal communication skills
- Excellent organizational, multitasking and problem-solving abilities
- Strong project management skills with experience in planning, executing and reporting on complex initiatives
- Flexible and adaptable with the ability to work under pressure and prioritize tasks
- Proactive and self-motivated with a strong sense of responsibility
- Friendly, professional demeanor, with a focus on exceptional guest service
- Dutch passport or valid work permit
