The University of Aruba is a young, dynamic, and growing university that was founded in 1988 and now consists of four faculties, namely the Faculty of Law, the Faculty of Accounting, Finance & Marketing, the Faculty of Hotel and Tourism Management Studies, and the Faculty of Arts and Science. Our primary activity is to provide high-quality education.

 

For our Faculty of Arts and Science (FAS) we are looking for a highly motivated:


FAS ADMINISTRATIVE SUPPORT

(1,0 fte)

 

Job summary: 

The Faculty support to the Dean provides high-level administrative support to ensure the efficient operation of the programs within the Faculty of Arts and Science. The role involves managing correspondence, scheduling meetings, maintaining records, handling confidential information, and serving as a liaison between the Dean, Vice Deans, Program Managers and various stakeholders within the UA.


Your key responsibilities are: 

  • Provide comprehensive administrative support to the Dean/Program Manager.
  • Manage the Faculty/Program’s calendar, schedule meetings, and coordinate appointments.
  • Handle and prioritize correspondence, emails, and other correspondence.
  • Prepare, proofread, and distribute reports, presentations, and official documents.
  • Organize and maintain electronic and paper records/archives to ensure easy retrieval of information.
  • Arrange travel and accommodation for the faculty members and visiting guests/lecturers as required.
  • Support the planning and execution of Faculty events, conferences, and meetings.
  • Liaise with internal and external stakeholders to ensure smooth communication and coordination.
  • Ensure confidentiality of sensitive documents and information.
  • Perform other duties as assigned by the Dean/Program Manager to support the smooth running of the office.


The ideal candidate:

  • Bachelor’s degree in Business Administration, Office Management, or a related field.
  • At least 3-5 years of experience in an administrative or secretarial role, preferably in an academic or professional setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management abilities.
  • High level of discretion and professionalism in handling confidential matters.
  • Ability to work independently and take initiative.
  • Strong attention to detail and accuracy.
  • Excellent interpersonal skills with the ability to work collaboratively with diverse stakeholders.


Desirable Skills & Attributes:

  • Experience working in a higher education.
  • Knowledge of administrative procedures and best practices in an academic setting.
  • Familiarity with budgeting and financial management processes.
  • Ability to handle multiple priorities and work in a dynamic environment.
  • Strong problem-solving skills and adaptability.

 

We offer a pleasant working environment within a small university with around 800 students that is in full development. The small scale of our organization means that we offer a diversity of work and roles, from providing teaching and conducting research to holding administrative positions.

The appointment is for a contract period of one (1) to three (3) years with the possibility of a contract extension based on a good performance evaluation and unchanged organization conditions. Part of our secondary employment conditions includes 22 vacation days, 13 ATV days, a vacation allowance, a pension plan, additional health insurance, and opportunities for personal and professional development.
