Executive Office Manager
The Executive Office Manager plays a vital role in supporting our executive team and ensuring the efficient operation of the executive office. As the primary point of contact for all executive matters, this position serves as a key liaison between senior management and external stakeholders, including customers, regulators, partners, and industry associations.
This role provides high-level administrative and operational support, managing correspondence, coordinating meetings, and overseeing office procedures. Responsibilities include serving as secretary to various boards and associations, preparing reports, conducting research, maintaining databases, and handling confidential communications. The Executive Office Manager also addresses escalated customer concerns, manages office inventory, and ensures compliance with record-keeping policies.
Beyond daily operations, this position supports executive projects, tracks deliverables, manages budgets, and contributes to the development and implementation of office strategies. Additional responsibilities include scheduling, coordinating travel, organizing events, and ensuring smooth internal and external communication.
Professional requirements:
- Bachelor's degree in Administration / Management
- Business correspondence courses
- Experience in an executive assistant, office management or similar administrative role preferred
Candidate profile:
- Exceptional communication skills: Fluent in English, Dutch, Spanish, and Papiamento, with strong written and verbal communication skills. Proven experience in managing board meetings, taking minutes, and preparing comprehensive reports (preferred).
- Strong interpersonal skills: Proven ability to build and maintain relationships at all organizational levels, fostering collaboration.
- Advanced PC proficiency: Expertise in using common software tools such as Microsoft Word, Outlook, Excel, and PowerPoint to efficiently communicate and access information within the bank.
- Organizational and time management abilities: Skilled in planning, organizing, and coordinating tasks with exceptional attention to detail. Adept at prioritizing and managing a diverse and demanding workload while maintaining flexibility to adapt to shifting priorities. Strong ability to meet deadlines and ensure timely delivery of key responsibilities in a dynamic environment.
- Customer service excellence: Demonstrates strong judgment, decision-making, and problem-solving skills in managing executive office operations. Effectively addresses concerns, prioritizes tasks, and ensures timely resolutions to support senior management and organizational goals.
